Planning Music and DJ Timings for a Country Wedding in Victoria

At a country wedding, the ceremony, drinks and reception may happen in different parts of the venue. Guests can move between a garden, courtyard and dining room before anyone reaches the dance floor.

That makes the music plan about more than a start and finish time. Your DJ needs to know where sound is needed and when, so each part of the day is covered by the people and equipment you have booked.

Separate ceremony and reception requirements

Check who is providing ceremony music and microphones. It might be the celebrant, a musician, the venue or a separately booked service. Reception DJ hire does not automatically include ceremony sound.

If you want your DJ to cover more than one area, discuss it before booking. There may be a need for another sound system, an earlier arrival or time to move equipment. Be specific about the location of each part of the day.

Plan the transition into the reception

Decide what guests will hear while you are having photos taken and when they enter the reception room. Then confirm who will gather everyone for your entrance.

Give your DJ or MC the entrance order, names and song choices. If transport brings guests in groups, mention that too. A little flexibility at the start can prevent announcements being made while half the room is still outside.

Protect some time for dancing

Work back from the venue’s music finish time. Leave a realistic block for dancing after dinner, speeches and the first dance, rather than hoping those moments will finish early.

For example, a 10.30 pm music finish with dancing starting at 9.45 pm leaves only 45 minutes. That may suit your plans, but it is better to notice it while writing the run sheet.

Ask the venue how it prefers to space meals and speeches. Your DJ or MC can then work with that schedule and adjust if something changes.

Decide how the night will end

Choose whether you want a final singalong, a last dance together or simply a strong finish to the party. Tell the DJ about buses or other guest transport so the final song can fit the departure plan.

Keep the final music finish and supplier pack-down arrangements clear. Those are useful details to settle well before the wedding week.
