A country venue can give you plenty of room to celebrate. It can also mean a longer walk from the car park, an outdoor dance floor or a reception space some distance from the ceremony.

If you are arranging DJ hire in regional Victoria, share the exact venue address early. The town name is useful, but a property outside town can have quite different access and setup needs.

Explain where the party will happen

Tell your DJ whether the event is in a function room, hall, marquee or private property. A floor plan or a few recent photos can help explain the layout.

Include where people will eat, where speeches will happen and where you want guests dancing. If those areas are separate, ask whether the proposed sound setup can cover them. Do not assume one pair of speakers will suit every part of the property.

Check power and weather cover

Ask the venue where suitable power is available and pass that information to the DJ. For marquees or temporary spaces, the venue or qualified supplier should confirm the electrical arrangements.

Outdoor setups also need an agreed weather plan. Equipment needs appropriate shelter and a suitable surface, and moving everything after guests arrive can affect the schedule. Decide on the backup location before the event rather than waiting to see what happens on the day.

Allow for unloading and setup

A short distance on a map can still involve gates, gravel paths, steps or a long carry. Ask where the DJ can unload and how close a vehicle can get to the setup area.

Confirm when the space becomes available and whether furniture will already be in place. If the room is being changed from a ceremony layout to a reception layout, allow time for the suppliers to work around each other.

Confirm travel and finishing arrangements

Ask for travel to be included clearly in the written quote. For a late finish or longer journey, discuss any accommodation requirement before booking.

The venue’s music finish time matters as well. It may be different from the time guests leave. Share any sound limits and ask who the DJ should speak with if the running order changes.
